Collection of personal data
Visitors to our Website
When you use our websites, we may collect information about you and your use of the relevant site through cookies and analytics tools.
We may also collect personally identifiable information about you, such as your name, email address, company name and job title, address, telephone number, fax number and location either directly from you or by combining information we collect via our websites with personal data we collect and maintain through other means (such as client relationship management systems or identification and access management systems, including IP addresses) or as we may receive from social media or other third-party sites. The retention period for data you send that is associated with cookies, user identifiers, or advertising identifiers will be automatically erased through Google Analytics after 50 months, or earlier upon your request.
Newsletter Sign Up
As part of the registration process for our newsletter, we may collect personal data such as your email address, company name and title, or location. We use that information for a couple of reasons: to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied.
By opting in to any of the specific email types (purposes), you are giving us your consent to send you emails regarding those specific purposes. Examples of these different email purposes are as follows: Business news, Events & Marketing Information and Career opportunities.
You can update your email preferences and/or unsubscribe to these mailing lists at any time by clicking the update preferences/unsubscribe link at the bottom of any of our emails, changing your email preferences at the email preferences page or by emailing our Data Protection Officer dpo(at)nordcloud.com.

Failure to provide personal data
Where we need to collect personal data, for example to send you newsletters or information about our services and you fail to provide that data when requested, we may not be able to fulfill your request.
What personal data do we collect?
In addition to non-personally identifiable information we also collect some personal data that you provide us with for example through any of the scenarios listed under the chapter “Collection of personal data”.
Personal data refers to any information that identifies you personally, including contact information, such as your name, IP-address, e-mail address, company name and title, address, phone number, and other information about yourself. Personal data can also include information about any transactions, both free and paid, that you enter on our website, and information about you that is available on the internet, such as from Facebook, LinkedIn, Twitter and Google, or publicly available information that we acquire from service providers.
However, when we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal data and will only use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our organisation, other than as necessary to fulfil your request. All of our third party service providers are bound to process your data according to our instructions adhering to this policy and applicable data protection laws.

Data for the marketing register is obtained through customer relationships, via Nordcloud website (contact forms, downloads, newsletter subscription forms), registrations for Nordcloud events and generally available online sources.

Use of Navigational Information
We use navigational information to operate and improve the website and the service we provide. We may also use navigational information alone or in combination with personal data to provide you with personalised information about Nordcloud.
Service Providers Use of Information
We may engage other companies and people to provide services to visitors to our websites, our customers, and users of the subscription service and may need to share your information with them to provide information, products or services to you. Examples may include removing repetitive information from prospect lists, analysing data, providing marketing assistance, processing credit card payments, supplementing the information you provide us in order to provide you with better service, and providing customer service. In all cases where we share your information with such agents, we explicitly require the agent to acknowledge and adhere to our privacy and customer personal data processing policies.
Data Protection Principles of the Register
Personal data is stored confidentially. The register can be accessed only by Nordcloud employees who need the data for their assignments. The data network and equipment of the controller and its possible information technology partners are protected using a firewall and other necessary technical measures.
Disclosure of your personal data
We do not sell, rent or trade email lists with other organisations and businesses. However, under some circumstances we may need to share your personal data with the parties set out below for the purpose of providing you with a seamless service.
- Subsidiaries or other companies in the Nordcloud group.
- External Third Parties such as software- and/or service providers acting as processors providing marketing management, customer relationship management and email services.
- Partners with which we organise events.
We require all third parties to respect the security of your personal data and to treat it in accordance with the applicable data protection laws. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes according to instructions provided by us.
For example, when someone visits www.nordcloud.com we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone, however, as the information can be linked to private individuals, it is considered personal data in the context of applicable data protection laws. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. For how long is personal data stored?
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

What is a cookie?
Cookies are text files containing small amounts of information which are downloaded to your personal computer, mobile or other device when you visit a website. Cookies are then sent back to the originating website on each subsequent visit, or to another website that recognises that cookie. Cookies are useful because they allow a website to recognise a user’s device.
This technology may be used in analysing trends, administering the sites, tracking users’ movements around the sites and to gather demographic information about our user base as a whole.
