Turning Shelves of Paper into Smart Digital Systems.

As a leading global manufacturer, the company is committed to delivering high-performance engineering and advancing sustainable mobility. With factories around the world, they’ve mastered precision and cutting-edge hardware. However, their internal operational workflows were still constrained by legacy systems. 

Decades of reliance on paper-based manuals and technical drawings slowed maintenance, complicated onboarding, and hindered global scalability. To overcome these challenges, the company sought a fully cloud-based documentation system, one that would provide engineers with instant access to critical information, reduce dependence on “tribal knowledge,” and pave the way for smarter, faster operations across the globe. 

To bring this vision to life, they teamed up with Nordcloud. 

The Challenge: A Paper-Based Past.

When the Nordcloud team first stepped into the factory, the scale of the challenge was immediately clear. Entire rooms were filled with shelves stacked high with paper manuals and technical drawings. For decades, this was how maintenance engineers worked – leafing through binders to find instructions for repairs. It was a system built on experience and memory, but it was slow, inefficient and fragile. New employees faced a steep learning curve, relying heavily on the “tribal knowledge” of seasoned staff. 

The client’s vision was bold: move from paper to a fully digital, cloud-based documentation system. Scanning documents was only the first step. In a big picture it was about creating a smarter, faster way for engineers to access critical information exactly when it mattered most. 

They wanted to: 

  • Digitalize and automate documentation processes 
  • Enable fast, intuitive access to technical information 
  • Reduce dependency on “tribal knowledge” and improve scalability across global operations 

The Journey: Building a Digital Backbone.

The project started with a greenfield approach. The Nordcloud team collaborated closely with the client’s engineers, visiting factories to understand their daily pain points. Conversations revealed a common frustration: finding the right document could take precious minutes, sometimes hours, slowing down repairs and increasing downtime. 

We knew the solution had to be intuitive and accessible. In the first phase, we migrated all documentation to the cloud and implemented keyword-based search. Engineers could now locate documents in seconds instead of sifting through piles of paper. 

Adding Intelligence.

To make the system truly effective, we integrated Amazon Textract for text extraction. This allowed scanned documents to be processed and indexed, enabling accurate keyword searches across thousands of pages. Engineers could now retrieve instructions quickly, even from older manuals that previously existed only in paper form. We also enabled tracking of document uploads and usage for better oversight.  

QR Code Integration.

QR codes were added to machines, enabling quick access via iPads. By simply scanning a code, engineers were directed to the exact documentation they needed, with no more guesswork and wasted time. 

Robust architecture.

Behind the scenes, the system was built on a solid foundation using Python and TypeScript for the backend and React for the frontend. AWS services like Lambda and OpenSearch handled indexing and search functionality, while Textract ensured that even legacy documents were searchable. 

Challenges Along the Way.

The transformation wasn’t without hurdles. Resistance from engineers accustomed to paper processes required careful change management. Digitizing decades of documentation was a monumental task for the client. 

Yet, through on-site collaboration and continuous feedback, our team overcame these obstacles. Seeing engineers scanning a QR code and instantly accessing the right document was a turning point and a clear sign that the combined effort was paying off. 

Results That Matter.

The new system is already making a difference in the first pilot factory.
