The EU AI Act in brief
The EU AI Act is the European Union’s first centralised regulation on AI. Its goal is to ensure that AI systems deployed in the EU are safe, transparent and trustworthy. The Act introduces a risk-based approach, categorising AI applications into different risk levels – minimal, limited, high and unacceptable – with corresponding compliance obligations. This means that the higher the risk an AI system poses to individuals or society, the stricter the requirements for its development, deployment and oversight.
Other key AI Act principles include:
- Transparency: Organisations must be able to explain how their AI systems work, what data is used and how decisions are made. This means having complete and actual documentation and providing clear information to users to build trust and to supervisors to enable effective oversight.
- Data governance: The Act emphasises responsible data management. Companies must ensure personal and confidential data are protected, especially when using public AI solutions. This principle is closely linked to existing privacy legislation and requires organisations to communicate clear (data classification) guidelines on AI data usage internally.
- Ethical standards: AI systems should be designed and operated in accordance with ethical principles, minimising bias and harm. The Act encourages organisations to establish internal policies and roles (for example Business Owners, Product Owners and Chief AI Officers) to oversee ethical AI use.
- Continuous monitoring, incident handling and reporting: Compliance isn’t one-and-done. The Act requires ongoing evaluation and adaptation of AI systems to address emerging risks and maintain alignment with legal and ethical standards. This includes incident handling and potentially reporting incidents to the authorities.
- AI literacy: The Act recognises the importance of building AI literacy across the organisation. This means ensuring employees, decision makers and stakeholders understand the AI basics, its risks and their roles in responsible usage. Promoting AI literacy supports informed decision making, effective governance and a culture of accountability, helping organisations not only comply with regulations but also to leverage AI safely and efficiently.
AI Act roles
The AI Act defines different roles:
- Provider: Builder of the AI system (e.g. Microsoft developing Copilot)
- Importer:Brings an AI system on the EU market (applicable when the provider is non-EU)
- Distributer: Makes an AI system ready for usage (e.g. by installing it locally)
- Deployer: Uses the AI system (your organisation using Copiliot)
Note that one organisation can have multiple roles. For example, when an in-house AI system is used, it is both provider and deployer.
